Location: Hybrid (Head Office - Royal Wharf, with flexibility to work remotely)

Hours: Full-time / Part-time considered

Reports to: COO

About the Role

We are recruiting for a client who requires a highly organised, proactive, and adaptable Executive & Operations Assistant to support the smooth running of their business. This is a hybrid role with flexibility—most tasks can be completed remotely, with occasional attendance at the office or external meetings when required (always arranged in advance).

As the right hand to the COO, and with additional support provided to the CEO, this role is central to keeping operations coordinated and efficient. You'll manage communications, oversee day-to-day admin, and provide hands-on support with both business and personal tasks.

This is a new role, so responsibilities are evolving and may change as they find what works best for both you and the company. As our client opens more studios, this role will grow and expand alongside the business.

Salary & Contract

Role can be structured as part-time employment (3-4 days per week) or freelance for set hours, depending on what works best for the successful candidate.

Key Responsibilities

Executive & Inbox Management

  • Manage all head office inboxes, ensuring timely and professional responses
  • Prioritise and escalate emails where appropriate, keeping the COO informed of key actions
  • Handle scheduling, diary management, and coordination of meetings
  • Book travel arrangements, including flights, accommodation, and transfers
  • Attend meetings on behalf of the COO, take notes, and ensure follow-up actions are completed
  • Assist with personal tasks and errands for the CEO (e.g. shopping, booking appointments, reservations, collecting items)

Administration & Operations

  • Liaise with third-party organisations, suppliers, and partners
  • Keep track of stock levels, place orders when required and ensure stock is correct on arrival
  • Manage ordering of supplies for the studio, head office, and team
  • Carry out basic admin tasks such as printing documents and filing
  • Draft and proofread internal and external communications

Business Coordination

  • Support project management and ensure key deadlines are met
  • Research and source new suppliers, tools, and services to enhance efficiency
  • Keep policies, compliance documents, and studio records up to date
  • Help plan and deliver company events, workshops, and team activities
  • Contribute to brand expansion by researching opportunities, exploring new markets, and bringing forward fresh ideas for growth
