Full time receptionist required to work as part of a reception team of two at one of our beautiful sites in Wapping (East London). We are looking for someone who is bright and bubbly and enjoys dealing with people! Training can be provided.

Receptionist Duties

  • Meet and greet visitors ensuring residents & guests receive a warm & friendly welcome to the building.
  • Sign in visitors and announce their arrival via the telephone and/or email system
  • Sign visitors and contractors out of the building ensuring access cards, keys or fobs are returned and stored appropriately.
  • Answer all calls and either transfer to correct person or take a message and email to relevant person with the caller’s name/company name/message and contact details
  • Inspect the reception area at regular intervals throughout the day ensuring the space is kept clean and tidy at all times. Tidy / organise furniture whenever needed.
  • Oversee meeting room booking requests. Inspect cleanliness of the meeting room ensuring the area is refreshed between all meetings.
  • Organise keys and access cards/fobs for new tenants
  • Collect keys from vacating tenants and deactivate access cards/fobs - report items missing to building manager
  • Organise signage & intercom board updates
  • Sort through post & deliveries and maintain accurate post log records. Place any large deliveries in the larger delivery cabinet and notify the appropriate person.
  • Perishable deliveries (i.e. Milk/fruit/bread/flowers) - please call tenant once the items are delivered and ask them to collect right away to save the food/flowers spoiling.
  • Report and log any maintenance issues / notifications from building residents. Keep residents updated on repairs schedule and follow up once completed. All maintenance emergencies should be reported directly to maintenance team and building manager.
  • Keep fire exits clear at all times, looking out for tenants and couriers who may leave items/deliveries in walk ways
  • Keep fire register up to date - regularly check with tenants for staff changes (fire marshal changes) set up fire marshal meetings/training with building manager when required
  • Assist with weekly testing scheduled (i.e. fire alarm bell test, lift alarm, fire doors, fire alarm monitoring) and keep log-book updated
  • Log and report issues with passenger and/or goods lifts to the appropriate call-out teams and update residents where repairs are required.
  • Ensure first aid kit and grab bag are well stocked and tenant check list is up to date. Inform building manager of any items missing/required.
  • Monitor access control system and programme/deactivate cards/fobs where required. Place new stock orders at appropriate intervals
  • Carry out daily/weekly key safe audits and follow-up on any missing items
  • Complete regular bulb stock audits and order stock where required
  • Prepare daily handover for security team
  • Regularly check terrace area for tidiness, report to maintenance/cleaners if/when necessary
  • Assist building manager with regular building walk rounds to ensure all fire exits are kept clear and free from obstruction at all times.
  • Order stationary, groceries and maintenance materials when required by building manager
  • Keep staff kitchen stocked up and tidy at all times. Fill and empty dishwasher at start/end of shift
  • Keep reception desk paperwork updated at all times, update training manual and top-up logs when required.

Working hours: 8:30am to 5:15pm (Monday to Thursday) & 8:30am to 5pm on Fridays
