About the Role

We are seeking a highly organised and proactive Virtual Personal Assistant / Team Coordinator to assist the company director in managing a small remote team.

This role involves managing daily operations, ensuring smooth internal communication, handling client correspondence, coordinating meetings, and supporting with business development activities such as preparing proposals and following up with prospective clients. It’s a dynamic position that requires excellent communication, and problem-solving skills, along with the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Operational Support

  • Supervise the daily operations of the remote team, ensuring all assigned tasks are completed accurately and on time.
  • Effectively delegate tasks and monitor progress to maintain accountability and productivity.
  • Track team performance, identify any delays or gaps, and take prompt action to resolve issues.
  • Support the director in managing overall workflow and ensuring efficient day-to-day operations.

Client Communication & Correspondence

  • Manage the company’s email inbox, ensuring all messages are reviewed and handled promptly.
  • Assign emails to the appropriate team members, follow up as needed, and ensure no client queries remain pending.
  • Handle client calls professionally, maintaining a friendly and approachable tone in all interactions.

Business Development Support

  • Draft proposals, letters, and follow-up emails for prospective and existing clients.
  • Regularly follow up with potential leads and assist in maintaining client relationships.
  • Conduct research on new business opportunities, potential clients, and partnerships to support company growth.

Administrative Support

  • Coordinate meetings on behalf of the director, including scheduling, liaising with attendees, and preparing meeting briefs or minutes.
  • Assist in creating and formatting documents, presentations, and templates.
  • Maintain internal records, spreadsheets, and management reports.
  • Ensure that staff receive appropriate guidance or training support where needed.

Requirements

  • Excellent written and verbal English communication skills.
  • Strong organisational and multitasking abilities.
  • Confident in managing remote teams and ensuring accountability.
  • Proficient in MS Office
  • Reliable, proactive, and capable of handling confidential information with discretion.

Desirable

  • Prior experience within a professional services environment.
  • Familiarity with UK business operations and time zones.

Schedule

  • Monday to Friday (UK business hours)
  • Remote/Hybrid as the director is mainly Dubai based

Salary

Competitive — based on experience and skills.
